Traveler Terms & Conditions Overview

Before finalizing your reservation with Global Sangha, please take a moment to review and understand the following Traveler Terms & Conditions. By completing a booking with us, you agree to be legally bound by the policies outlined in this document.
Booking Agreement
By booking a trip with Global Sangha (referred to as “we,” “us,” or “our”), you, the traveler (also referred to as “you” or “client”), agree to the terms set forth herein. Your reservation, combined with these Terms & Conditions and the specific trip details found on our website, collectively constitute a binding contract.
If you’re booking on behalf of others, all individuals in your party will be deemed to have read and accepted these Terms.
Deposits
To reserve your spot, a non-refundable deposit is required. Most deposits are half of the overall cost, but may be the full amount depending on the retreat. You can view the required amount by selecting “Book Now” and reviewing the information for that individual retreat.
If your booking is made less than 91 days before the retreat begins (or 181 days for certain locations, the full trip cost is due at the time of booking.
Final Payment
The remaining balance of your trip is due 90 days before departure (or 180 days for specific trips). Your specific due date and payment link will be outlined in your Welcome Email, under the “Invoice & Payment Date” section. If payment isn’t received by the deadline, your booking may be canceled without a refund.
Passports, Visas & Travel Documents
If traveling internationally, it is your responsibility to ensure your passport and all required visas, permits, and documentation are valid and up to date. Some countries require your passport to be valid for at least six months beyond the trip’s end date.
We are not liable for issues or denied entry resulting from incomplete or incorrect travel documentation.
Traveler Information Requirements
To secure your booking, we may request certain personal details no later than your final payment deadline. This may include:
- Your full legal name (as on your passport)
- Passport number and a color copy of the photo page
- Date of birth
- Dietary needs or restrictions
- Medical conditions or physical limitations
- Roommate match request (if applicable)
Roommate Matching
Solo travelers wishing to share accommodations at the double occupancy rate should indicate this at booking. We will attempt to pair you with a same-gender roommate.
If we cannot find a suitable match by your payment deadline, a “single supplement” fee (50% of the cost difference between single and double occupancy) will apply. If a match becomes available later, this fee will be refunded.
Note: Roommate matches are not guaranteed.
What’s Included in Your Trip
Your trip cost covers:
- All lodging and meals as outlined on the specific trip itinerary
- Ground transport to the retreat site, where applicable
- Daily meditation/dharma/yoga instruction per the trip itinerary
- Additional items listed under “What’s Included” on the website for that specific retreat
What’s Not Included
The following expenses are not covered:
- Airfare to and from the destination
- Excess baggage fees
- Visa and passport fees
- Travel insurance
- Alcoholic drinks
- Gratuities
- Optional excursions
- Personal expenses
- Anything listed under “What’s Not Included” on the trip p
Optional Activities
Activities not explicitly included in your itinerary are optional and not part of your agreement with us. While our team may assist in arranging such activities, we are not liable for them.
If You Cancel
You may cancel your reservation up to 91 days before the trip (or 181 days for specifically identified trips), and receive a refund of all payments except the deposit (25%). Cancellations made after this period or no-shows are non-refundable.
Please refer to your Welcome Email for the exact deadline to cancel and qualify for a partial refund.
Bookings are non-transferable.
We strongly encourage purchasing travel insurance to protect your investment.
If We Cancel
We may cancel a trip up to 91 days prior to departure (or 181 days for certain trips). In this case, you will receive a full refund.
Trips may also be canceled at any time due to unforeseen circumstances such as natural disasters or political unrest (“force majeure”). In those cases, we will refund all recoverable costs, but cannot guarantee full reimbursement.
Booking Rejections & Participation Denial
We reserve the right to decline any booking or exclude a participant before a trip begins if we believe their presence may negatively impact the group or experience. In such cases, a full refund will be issued.
Trip leaders also have the authority to remove a participant during the retreat for disruptive behavior, without a refund.
Itinerary Changes
Itineraries are flexible and subject to change due to local conditions, weather, instructor availability, or other factors. While we strive to follow published plans, adjustments may be necessary. Changes may occur without prior notice.
All yoga/meditation sessions are conducted at the instructor’s discretion and may differ in style or frequency.
Travel Insurance
We highly recommend purchasing travel insurance, and for some trips, it may be mandatory. Travel disruptions due to COVID-19, illness, or border restrictions are not covered by Global Sangha.
Insurance may protect you against trip cancellations, medical emergencies, lost belongings, and more. Check with your insurance provider for specific coverage details.
Photo & Video Use
By joining a trip, you consent to the use of your image or name in photos or videos taken during the retreat for our marketing purposes. This includes use on our website, advertisements, and social media channels, royalty-free and in perpetuity.
Additionally, you allow us to re-share any images or videos you post on social media, with or without credit. If you prefer to be credited, let us know and we will make the appropriate adjustments.
Health Requirements & Medical Considerations
You confirm that you are in good physical health, capable of participating in all activities, and do not have any conditions that could affect your or others’ safety.
You are responsible for meeting any vaccine or health requirements of your destination and for carrying appropriate documentation (e.g., proof of vaccination, testing, insurance).
Stay informed of entry regulations, which may change at short notice.
Independent Operators
Our trips rely on third-party providers (hotels, guides, transport, instructors, etc.), who are independent contractors—not employees of Global Sangha. We vet our partners carefully, but are not liable for their actions, service quality, or omissions.
Acknowledgment of Risk
Travel inherently involves risk. You accept and assume these risks, which may include illness, injury, delays, or unexpected disruptions—particularly in remote or developing areas.
Travel during the COVID-19 era adds unique challenges, including exposure risk and variable health infrastructure in destination countries.
You understand and accept these conditions as part of your decision to participate.
Liability Waiver
Global Sangha, along with its affiliates, team, and partners (collectively, “GS Parties”), is not liable for any loss, injury, delay, or damages resulting from:
- Third-party providers
- Unforeseen events (force majeure)
- Your own actions or decisions
By booking, you waive any claims against the GS Parties for incidents arising before, during, or after your trip.
Privacy
We may collect personal data as needed to operate your trip or send you marketing communications. Your information may be shared with service providers as required for trip logistics.
Arbitration Clause
Any disputes related to your trip or these terms must be resolved through confidential binding arbitration in Maine. Both parties waive the right to a jury trial. Each party is responsible for its own legal costs.
Governing Law
These Terms & Conditions are governed by Maine law and are enforceable in that jurisdiction.
Updates to These Terms
Global Sangha reserves the right to modify these Terms at any time. The latest version will always be available at wwwglobalsangha.com, and updated terms supersede any previous versions.
